School Funds - Policies and Procedures


Accepted Payments

We accept the following payment methods and school funds.
Click on the blue titles to read more about each option.

Please note that this information is based on procedures that EMH Sports requires. Please check with your school to see if there are any additional steps that they require. They may have other forms or paperwork for you to sign.

Registration

Please note that even though we do take school funds, school funding is only a payment method, but it is not your registration. You must also register for your sports classes directly through EMH Sports or your child will not be on the roster.

Schools do not register children with us. All of the conditions below must be met before your child will be allowed to participate, so please allow enough time to complete registration AND have funding approval sent to us.

You must have... 

  1. A Parent User Account on our site
  2. *A Student file for each child with their correct name, school, birthdate, etc.
  3. A permission form (AP Form) signed by the child's parent or legal guardian
  4. *An order on our website for the classes you want to attend
  5. Approval from your school in our office before class starts, or a deposit

Please complete your account, files, and forms on our website first (you only have to do this once). Then place an order on our website and select "school funds" at checkout. Immediately contact your school and let them know you will be participating with us. School approval is required by the night before class or a deposit will be required.

*All ordered months, names, sports, etc must match on both our website and the school paperwork, so please make sure your EMH Sports website order and student names match the ordered classes and names you filed with your school. 

Class Options

Registration with school funds must be approved by your school 2 business days before class or a deposit will be required. If you make a one month deposit you can also order with our discounts.

Amount

School funds must be for the full amount of the product(s) ordered unless you qualify for a discount. If you have a full deposit on account with us, you may use our 10% discounts. The sibling discount does not apply with school funds. If you have a partial credit or if you paid out of pocket for part of the fee you can get school funds for the other portion.

If you miss part of a month, we do not prorate the cost. You can buy makeup passes or single day passes if you can't attend all 4 weeks of a sport (see above).

Procedures

EMH works with many different schools to secure funding for your sports. The schools are listed in the green box. Click on your school name to read more about your school procedures. Each school may have additional procedures you must follow, so please check with your school also!

When you check out, select "School Funds" as payment method. As the funds come in to our office, we will clear your children and you will see green flags on your status page for each cleared month.

In general here are the basic types of funding

Deposits

Registration with school funds is a "delayed payment" method. Schools do not pay us in advance for classes even when they remove funds from your school account and send us purchase orders or vouchers. It can take 30-60 days after a sport ends for us to get paid. If a school has not paid by 45 days after class ends, families will have to pay a deposit going forward. At 60 days all deposits will be used to pay for the class, and only replaced after we get a school check.

In some cases we will require a deposit or up front payment until we get the actual funds from your school (not just the purchase orders). We also require deposits if you want to use any discount coupons.

Deadlines

Please observe our ordering deadline! All orders and payments must be completed 2 business days before class so that we can prepare our rosters for the coaches. Waiting until the day before or day of class or asking us to rush your order over weekends and holidays will incur extra RUSH fees or you will have to wait a week to attend class. 

For families using school funds, your P.O./Voucher or other school approval notices must received by our office before the deadline in order to participate.  Our participating schools have been alerted that funding requests should be turned in to them at least 7-10 days before class starts in order to give everyone time to process the necessary paperwork. Deposits can allow your child to play before we have final clearance.

Discounts

EMH Sports offers certain discounts for ordering early or in bulk. However, we only allow these discounts when your sports are prepaid. Since schools do not prepay for classes, you must make a full deposit equal to one month of classes per child to EMH Sports before you can use discounts.

Sibling discounts do not apply at all when school funds are used for any of your children, but you can use the earlybird and bulk discounts.

Prorating, Credits, Refunds, Missed Classes and Makeups

  • We do not prorate for missed weeks if you order late or do not attend a date class is held. The only time you can prorate is if we cancel a class date or if you paid for a Day Pass and then want to prorate the balance of a month. 
  • If your school does not pay the full amount of the class you must pay out of pocket for the balance due before the first day of class!
  • If EMH cancels a class, a makeup will be provided or you can request a credit or a free pass for future use.
  • If you do not attend a prepaid class date but class was held, there may be a fee for a makeup depending on how you are paying. We do not issue credits or prorate your payment.
  • We do not issue refunds unless we cancel your entire class location.
  • If you are owed any refunds or credits, they will not be issued until your school pays us. We will bill your school AFTER each sport month is over, and we get usually get paid the month after we bill. Any credits due to you will appear on your account after that.

Cancellations

Please note that both EMH Sports and your school have expectations that you will attend classes once you sign up. If you sign up for a class, a full year or a semester and then drop out, we must be notified by you personally in writing before class is held. Do not expect your school or your coach to cancel your order for you. Schools can only cancel payment methods but that does not remove your child from our roster. You will still be responsible for payment if you do not come or cancel in a timely manner. we need to know before class so that we can change your registration and our teams if necessary. We hire our coaches and pay our park fees, buy equipment, etc, based on the headcount for each park, so please communicate promptly if you are not coming. There will be no credits issued if you do not cancel before our deadline.

Once class has been held you can only cancel future classes. Makeups can be purchased for classes held if you did not attend. With some purchases, makeups are included, or you can buy them individually per day per child. Please read your product notes carefully.

If EMH Sports cancels class, you are not responsible. We will offer a makeup day, credit, or refund.

Special Situations

Please note that your school policies and ours may not line up completely. 
For example, your school may not pay for holidays or missed weeks, while EMH would still require payment for those dates. 
Or your school may require that you order full months, while EMH allows you to order day passes for just certain days. 
We may charge extra for late fees and makeup passes that your school will not pay for.
We might offer a discount that your school does not take into account or a credit that your school funds cannot adjust for.

Sports List

Our typical lineup of sports for our PE classes is as follows. Most sports run 4 weeks, once per week.

June-August EMH regular PE classes will not be offered so that we can focus on special offerings like clinics and sports camps.

Holidays

Holiday Schedule:

  • Labor Day
  • Thanksgiving (Thursday and Friday)
  • Winter Break (see your class dates for exact schedule)
  • Good Friday
  • Memorial Day

These are the only dates we take off for holidays.

Each sport has 4 weeks, with the exception of December.
If a 5th week is in the calendar month, it will only be used if needed as a makeup or due to a holiday.

Some sports may begin or end in a different month due to scheduling needs.

Please be advised that EMH may have classes on some non-school days. We will not provide free makeups or credits for those dates if you do not attend. If your school does not pay for those dates parents must pay the difference out of pocket.

Bring a Friend

EMH Sports offers a free trial pass to your friend if they have never been to our classes and if you preregister them for a class you are attending.

You will also get a $5 referral credit when your friend joins us for more classes!

Policies

Special Needs

While EMH is a fully inclusive PE program that is open to students with special needs, the child must be able to function in the class without hampering instruction or requiring assistance from the PE instructor. If directed by an individualized education program (IEP), EMH can provide one of our Adapted Physical Education instructors for one-on-one lessons or have the instructor assigned to shadow the student during a regular PE class. APE services must be approved through the child's homeschool charter and contracted with us before this service can be provided.

Makeups

Please note that makeups might be offered on your original purchase, or there may be a fee. If EMH Sports cancelled your original class, makeups are always no charge.

When we offer a makeup day for a cancelled class, you will need to respond "yes" or "no" if you were on the roster. Please respond to the notice on our website. That way we can get an accurate headcount and generate our makeup roster. 

Day Passes will need a new date if you did not attend. Please ask for a remake.

If we extend a class to 90 min as a makeup, the extra 30 min is only included if it was part of your purchase. Otherwise you can play for 60 min.

Cancellations

Cancellations must be received in writing (email) and must list the reason, name(s), month(s) and location(s). Please do not tell your coach or school and assume that we got that information!

There may be a fee to cancel, depending on whether or not the sport has started and how many dates were held, whether or not you attended. You will be charged for those dates if your school does not pay us.

If your school pays, we will need to discuss billing and credit options with you.

If we cancel your class, you may always ask for a new class, month, credit, etc. at no extra charge.

Weather

We will always try to contact our coaches and families if weather is bad in your area. If we know within an hour of class that it will not be held, notices will be posted and emails sent. We always try to hold class if possible, and this may mean that you do not get a notice or that the notice goes out late.

We also have a rain hotline that you can call to listen to a recorded message. If there is a lot of rain, we may get backed up in our notices. Please check the website first, as that is our top priority!

Makeups will be announced within the week if we cancel.

 

Attendance/Tardiness

Our coaches try to take roll as soon as the class time begins. Please be on time, as late arrivals are a distraction to the class and your family may have to wait until a water break to get checked in.

If you are not on our roster, it could mean you have to call our office or pay a fee for the day, so please check before coming to the park.

If you cannot attend a date, you do not need to tell us in advance unless you are asking for a makeup.

If you are going to miss a lot of dates, or a lot of people are going to a field trip or event, please contact us!

Drop-Offs

EMH Sports is not a drop-off program. If you are going to leave the park or the class area, or if you are in your car which is not visible to the coach, please sign in and out in the sign-out book and let another parent or coach know where you are going in case your child needs you.

Late fees will be collected for late pickup if our coach has to stay and wait for you.

You may send your child with another parent if your forms are all signed by you and your child is clear. Children who are not clear will have to sit out if you are not there to help register them.

Older children who can take themselves to the park must have a special release form from our office first.

 

Behavior

EMH Sports does not tolerate bad behavior from our students, parents, or coaches. This includes...

  • swearing
  • disrespectfulness
  • bullying
  • bad-mouthing
  • pushing
  • stealing
  • rough-housing

We appreciate when someone notifies our office of any problems right away so we can stop it before it gets worse.

 We want a safe and fun enviroment!

Dress Code

EMH Sports requires proper dress: no sandals, bare feet, dangerous or loose items, no bare midriff or revealing clothes or offensive sayings. Your child may be asked to sit out or change if dressed improperly.

Team Levels

It is our goal to provide at least 2 coaches whenever possible. Classes with very small enrollment may have one coach and combine children for drills or games, or we may ask for parent help to split the group.

Team breakout depends on attendance, and is by age not ability. In most cases we want your child to play with kids their age, even if they excel at the sport. Please contact us with concerns, thank you!
